Renter Message Swipe File: What to Say and When
Fifteen messages a cart operator sends over and over. Copy them, swap the brackets for your own details, and stop rewriting the same text at 9pm.
Anything in [brackets] is yours to fill. Where a bracket says [your policy], put your own terms in. We have not written a refund, cancellation or damage policy for you, because yours should match your rental agreement and ours does not.
Text versions are short on purpose. People read texts on a beach.
1. Booking confirmed

Send this before you are annoyed. Most late returns are a misread clock.

6. Late return, second nudge

7. Damage found after return
Send it with photos attached. Send it the same day. A dated message with pictures is a different conversation from a charge that shows up later.

8. Weather cancellation
Decide your weather terms before the season, not during the storm.

9. Responding to a refund or partial refund request

This one hands off to the review request. Keep them separate messages, a few hours apart, or the thank-you reads as a setup.

12. Declining a booking outside the service area
Say no fast and give them somewhere to go. A quick honest no gets you referrals.

15. No-show

Let me know what happened. [What your terms say about a no-show, stated plainly.]

How to use this
Put your own details in every bracket once, then save the results where your phone can reach them. On an iPhone, Settings then General then Keyboard then Text Replacement turns a message into three letters. On Android, look for personal dictionary or text shortcuts.
Two habits matter more than the wording. Send the late-return and damage messages the same day, because a dated message is worth more than a perfect one. And keep the thank-you separate from the review ask, so neither one reads as a transaction.
